I want to invoice cumulatively for a certain period - EDI
Set the billing frequency you want to use in the AlzaTrade portal. EDI documents must be linked to individual orders in the document lines, without this it's not possible to switch to summary invoicing.
COT/Cut off time/Invoicing limit/Order intake limit
All of the above express the same thing. The time by which you accept orders for same day shipping (or the following day, depending on individual setting). E.g. you have set COT to 12:00, and order that is confirmed by Alza at 11:59 should be shipped the same day at 15:00. Shipping time for orders that arrive after 12:00 will already be ser to a day later. More in the manual

What should I do if I don't have some items from my order in stock?
You must cancel the entire order.
I don't see the customer details in the order (order in Pending status)
Check the status of the order, if it's in Order Insert status (Pending), then it's not yet confirmed and is waiting for customer payment, for exapmple. At this point you have to reserve the goods. The customer's details will only be available after confirming it (Order Confirm), then you should start shipping the order.
We cancelled the order by mistake, is it possible to change its status?
No, the cancellation status is immutable.
How do I get multiple labels for one order?
When confirming your order, you request the number of labels you need. Only 1 label per order can be generated for Zásilkovna.
I requested less/more labels than I need
Cancel the requested labels (click on a cross in AlzaTrade portal/send Shipment Delete to API) and request a new set. If you have already confirmed the shipment, the labels cannot be changed in any way.
I can't print the labels / waybill
Try downloading the labels/waybill in another browser, if this didn't work, contact your AlzaTrade broker. (E.g. Expando – [email protected]) a [email protected].
The carrier brought the shipment back to me, what should I do?
Cancel the order as soon as possible in AlzaTrade/Expando/send the Delivery Result Rejected message via API and if you use EDI, issue a credit note to the invoice (in the order field, enter the original order number). If you use Selfbilling, Alza will issue the credit note for you.
The order shows the wrong carrier, can we change to another carrier?
It is not possible to change the carrier for an order, if you cannot ship with current carrier, you must cancel the order. You can contact the AlzaTrade team to create a duplicate order with a different carrier.
When should I confirm my order has been shipped?
In the app/API you can always see the desired order confirmation date. On this date it should also be handed over to the carrier. If you confirm the shipment later, we register it as missed and do not send the shipment data to the carrier.
Can I contact the customer myself?
No, only Alza communicates with the customer.
We didn't get a pick up, we have a problem with the carrier.
Regarding the problem with the carrier, please contact the AlzaTrade team immediately and they will check the situation with the carrier for you.
The carrier refused to accept my package.
- Find out why it was rejected and inform the AlzaTrade team. For example, if the carrier is missing data, we can send the data to carrier.
- Check that the package is packed according to the carrie's policy (to be verified on individual carrier websites).
- If you are handing over packages in Zásilkovna, verify that the shipment confirmation has been sent from your system by the required time as you see in the app.
Delay report
The Delay Report alerts you that orders that were confirmed before your COT have still not been shipped. You need to ship the orders as soon as possible, or communicate in the response to the report why they have not been shipped. If the carrier is coming to you at a different time than you have set in the report, contact [email protected].
Missing tax documents report
This report tells you which tax documents are not in order. They may have errors or not been received at all. You can find the reasons for non-acceptance in the EDI message for the specific document. A file with an explanation of the errors is attached to the report.

What is the difference between xml import feed and product listing?
- XML import feed is only for uploading and updating price and availability data od products.This action doesn't provide listing of products.
- The product listing is based on an XLS template, that you can download in AlzaTrade portal. Alternatively from the XML feed - send us an URL adress.
How long does it take to list products?
If complete documents are submitted, products are listed in a matter of days to weeks.
Are EAN codes necessary for joining AlzaTrade? If so, what form should they take and where can I get them?
Yes, EANs are necessary, but they also must be valid, so they cannot be replaced by any number. You can check the validity od the EAN on this website for example.: https://eancheck.com/
I want to temporarily deactivate one/some of the products, how can I do it?
Just deactivate the product in the Product Overview
I need to edit descriptions, photos, details of already listed products, who should I contact?
You can edit the products via products update that you upload to the portal. More in the manual.
I want to start shipping other products, is that possible?
Yes, but new products must be enlisted first. Find more information in the manual
